Executive Assistant to the CEO

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to the CEO to provide comprehensive administrative and operational support to executive leadership at a mission-driven nonprofit organization. This role is ideal for someone who is passionate about supporting an organization that serves the community while ensuring executive operations run smoothly and efficiently.

The Executive Assistant to the CEO will serve as a trusted partner to the CEO, managing complex scheduling, executive communications, Board support, travel coordination, event planning, and confidential administrative functions. Success in this role requires exceptional organizational skills, sound judgment, professionalism, and the ability to anticipate executive needs in a fast-paced nonprofit environment.

Key Responsibilities Executive & Administrative Support
  • Provide high-level administrative support to the CEO and executive leadership.

  • Coordinate executive meetings, agendas, and follow-up activities.

  • Prepare professional correspondence including emails, letters, reports, and presentations.

  • Maintain organized electronic and physical filing systems.

  • Monitor incoming phone calls and voicemail, ensuring timely follow-up.

  • Welcome visitors, donors, board members, community partners, and other stakeholders with professionalism and hospitality.

  • Coordinate meeting room setup, refreshments, catering, and presentation materials.

  • Prepare executive briefing packets, reports, gifts, informational materials, and meeting documents.

  • Handle confidential information with the highest level of discretion.

Board & Governance Support
  • Coordinate Board of Trustees meetings and related governance activities.

  • Prepare agendas, meeting materials, and supporting documentation.

  • Assist with meeting logistics and maintain official board records.

  • Track board-related action items and follow-up communications.

Calendar & Schedule Management
  • Manage a complex executive calendar with competing priorities.

  • Schedule internal and external meetings while balancing strategic initiatives, fundraising activities, and community engagements.

  • Coordinate meeting confirmations and distribute agendas in advance.

  • Build schedules that include travel time, preparation time, and meeting buffers.

  • Ensure calendars include locations, participant information, parking instructions, and logistical details.

  • Monitor upcoming meetings to ensure all supporting materials are completed in advance.

  • Review weekly schedules proactively to identify major organizational events and executive priorities.

Email & Communication Management
  • Monitor executive email throughout the workday.

  • Respond to scheduling requests and meeting invitations.

  • Prioritize communications requiring executive attention.

  • Route correspondence to appropriate departments when necessary.

  • Organize inboxes using folders, categories, and filing systems.

  • Manage subscriptions and maintain an organized inbox.

  • Coordinate timely responses and follow-up communications.

Task & Project Management
  • Maintain executive task lists and monitor ongoing priorities.

  • Track deliverables across departments and ensure deadlines are met.

  • Capture action items following meetings and coordinate follow-up.

  • Prepare weekly executive briefing materials, including pending approvals, follow-up communications, upcoming meetings, and organizational priorities.

Records & Administrative Operations
  • Maintain executive contact databases and distribution groups.

  • Keep organizational records accurate and confidential.

  • Document meeting outcomes and maintain executive files.

  • Prepare expense reports and mileage reimbursements.

  • Monitor administrative budgets and departmental expenditures.

Travel Coordination
  • Coordinate domestic and international business travel.

  • Arrange airfare, lodging, transportation, and travel documentation.

  • Prepare comprehensive travel itineraries.

  • Ensure calendars include travel schedules, reservations, and meeting information.

  • Coordinate conference registrations and schedules across multiple time zones.

Event Coordination
  • Support executive participation in fundraising events, board meetings, community programs, and organizational functions.

  • Coordinate invitations, RSVPs, venue logistics, catering, and event materials.

  • Prepare executive talking points and briefing documents.

  • Organize employee recognition events and executive-hosted gatherings.

  • Partner with internal teams to ensure successful event execution.

Qualifications
  • Bachelor's degree preferred or equivalent professional experience.

  • 5+ years of executive administrative experience supporting senior leadership or C-level executives.

  • Experience working in a nonprofit organization or mission-driven environment is highly preferred.

  • Outstanding organizational, communication, and time management skills.

  • Ability to prioritize multiple projects while maintaining exceptional attention to detail.

  • Advanced proficiency with Microsoft Office Suite, Outlook, and calendar management.

  • Experience coordinating executive travel, board meetings, and special events.

  • Demonstrated ability to manage confidential information with professionalism and discretion.
